How to Link Your Business on eCitizen's BRS Platform

Begin by logging into the account of the directors, director-shareholder, or appointed company secretaries at Business Registration Services using your username and password.

Select the menu tab  "Link Business."

 Here, you will need to enter either the name or registration number of your business and then click search.

Once you have located your business, select it and proceed by clicking next.

You will be directed to Edit Details where you must input essential business information such as Business Name, Registration Number, Registration Type, and Registration Date.

After entering these details, click save and continue.

1. Articles of Association :Provide information regarding the nature of your business along with its capacity.
2. Registered Office Address :Enter details about the registered office addresses ensuring all required fields are completed accurately.
3. Share Information : Fill the share-related information by specifying Share Category, number of shares, and their respective values.
4. Directors and Shareholders : Input detailed information for all Directors/shareholders including personal details as well as shares and Beneficial Ownership Information. Save these entries before proceeding.
5. Beneficial Owners :Finally, download the auto-generated Beneficial Ownership Information Form for signing.
6. Application Documents : Upload and submit the application signed form for review and processing.

Linking a business entails transferring your manual company records to the eCitizen online platform. 

This process is necessary for businesses registered before 2016 that require the Official Search of Company Details known as CR12. 

The CR12 is an official document issued by the Companies Registry in Kenya, which provides detailed information about a company's ownership structure, including details on shareholders, directors, and share capital.

Companies that are not linked to the BRS eCitizen Portal face several limitations;. 

1. They are unable to perform an online company records search.
2. Make changes to applications such as altering shareholding, directorship, registered office details, or share capital. 
3. These companies cannot file their annual returns through the portal. 
4. There is a possibility that such companies might be considered for de-registration.

The linking process might take about 14 to 21 days to complete.
